DrChrono Billing Services
DrChrono puts billing status in front of the practice through its Billing Summary and Live Claims Feed, but seeing a status is not the same as working it. Practices considering outside help need a clear division between what the platform shows, what a support team can access, and what the plan and contract permit.
Reading the Billing Summary before delegating
DrChrono identifies Billing Summary and Live Claims Feed among its core billing tools. We review the available reports alongside claim status and remittance exceptions. A summary total alone does not show which rejected claims, denials or unposted payments need action.
A support discussion starts by asking how the practice actually uses that summary: how often it is reviewed, which figures are trusted, and what decisions get made from it. Those answers shape what an outside team would be asked to do and what would remain with the practice.
Working the Live Claims Feed
The Live Claims Feed is where claim status becomes actionable. Claims may sit in different states, including rejections that never reached the payer, claims awaiting payer response, and claims needing correction before resubmission. Each state implies a different next step and a different person responsible.
DrChrono documents billing-status workflows, and the assessment compares those workflows with the practice's current habits. The aim is to avoid two people editing the same claim, to agree who clears rejections and who follows payer responses, and to define how status changes are recorded.
Remittance review and manual exceptions
Remittance handling is rarely fully automatic. Some payments and adjustments need manual review, and those items are where denials, underpayments and posting errors tend to collect. The review asks how remittances arrive, who posts them, and how exceptions are separated from routine posting.
It also asks how exceptions are documented so the practice can see what was done and why. If an outside team takes on part of this work, the practice keeps visibility into posting decisions, and unresolved items have a named owner rather than sitting in a shared inbox.
Plan, permission and contract validation
DrChrono plans and user roles differ, and what an additional user can see or change depends on the permissions the practice grants. Third-party support also has to be acceptable under the practice's plan and contract. Those points are verified before any engagement is described.
The check covers plan level, user roles, access method, contract language and a signed business associate agreement. Scope and fees are confirmed in writing afterward. No partnership, certification or integration is implied; the question is whether authorized access is workable for this practice.
What to discuss first
- Which DrChrono plan and user roles are active, and what would an additional billing user be permitted to see?
- Who works the Live Claims Feed today, and how often is it reviewed?
- How are remittances received, and which items currently require manual review?
- Do the practice's contract terms allow third-party billing support to access the account?
Common questions
Can you work inside DrChrono without changing our plan?
Plan requirements are checked before any engagement. DrChrono plans and user roles differ, and additional users or third-party access may depend on what the practice has purchased and what its contract allows. If the current plan does not support the arrangement, that is identified during assessment rather than after work has started.
Would this replace our billing staff?
That depends on scope. Some practices want help with claim status and remittance exceptions while staff handle posting and patient questions; others want a broader arrangement. The review establishes what the practice wants to keep before any division of work is proposed.
How is the work documented for our records?
Status changes, corrections and follow-up actions need a record the practice can review. The assessment looks at how claim history and notes are used today, then agrees what an outside team would record so the practice keeps a clear trail of who did what and when.
