Medical Billing for New Practices and New Locations

Opening a practice requires more than choosing billing software. Synergy helps define how provider enrollment, charge capture, claim submission and payment follow-up will work before the first billing cycle.

Build the launch plan around enrollment status

We begin with the legal billing entity, provider roster, locations, planned services and intended payers. Each payer’s enrollment and participation status needs to be understood for the relevant provider and location. Submitting an application does not by itself establish an effective participation date.

We organize the information needed for credentialing and payer enrollment and identify unresolved items for the practice. Appointment and billing decisions must reflect the actual payer status; we do not promise a universal approval date or that every preapproval service will be payable.

Connect the office workflow to the billing workflow

The launch checklist covers patient registration, eligibility checks, documentation handoff, charge review and claim submission. It names who resolves missing information and how the practice sees rejections and denials. We review the selected software and the access needed for the agreed tasks.

Electronic claim routing, remittance enrollment and payment posting are separate parts of setup. We identify where each payer response will be received and how payments will be reconciled. Clinical templates and business registration are not substitutes for a working billing process.

Review the first billing cycle

Once claims begin, the practice needs visibility into submission outcomes and exceptions. We agree how to review unbilled encounters, rejected claims, pending payer responses and unresolved enrollment questions. A claim marked submitted in one system still needs its downstream status checked.

The same planning can apply to an established group adding a provider or location. Tell us the planned opening date, specialty, software and current payer-enrollment status. We will discuss the service scope and next steps; patient records are not needed for the initial inquiry.

What to discuss first

  • Planned opening date, providers, locations and specialty.
  • Known payer enrollment decisions and effective dates.
  • Selected EHR, billing platform and clearinghouse.
  • Practice contacts responsible for clinical and enrollment questions.

Common questions

Can you handle billing before payer enrollment is finished?

We can assess setup and readiness work while enrollment is pending. Claim handling and patient scheduling must reflect each payer’s actual status and rules.

Can an existing practice use this for a new provider or office?

Yes. We can review the additional provider or location, enrollment changes and the handoff into the existing billing workflow.
