Office Ally / Practice Mate Billing Services
Need help working claims in Office Ally or Practice Mate? Synergy can assess claim submission, rejected claims, payment posting and follow-up while you keep your current system. We first identify whether your team uses Practice Mate, Service Center, EHR 24/7 or a combination.
Practice Mate and Service Center have different roles
Office Ally identifies Practice Mate as its web-based practice management product. Its claim-submission route uses Office Ally for carriers on the applicable payer list. A practice using another EHR with Service Center needs a different handoff from a practice entering charges directly into Practice Mate.
We map where encounter charges originate, who checks demographic and insurance details, who sends the claim and where responses return. That avoids creating a second claim when a file has already been transmitted from another application.
Separate file problems from claim rejections
A failed upload, a clearinghouse rejection and a payer denial need different action. Our proposed work queue separates items that never left the submission process from claims that need payer follow-up or a documented correction. We agree who may change claim data and who approves changes that require clinical clarification.
An acceptance message is an intermediate status. Follow-up should still account for payer receipt, adjudication and any remittance, so an apparently clean submission does not disappear from the work list.
Posting and secondary-claim handoffs
The assessment checks electronic remittance availability, paper explanations of benefits, unapplied payments and secondary balances. We compare what was posted with the supporting remittance before deciding whether a balance belongs with another payer or the patient.
For secondary work, responsibility for primary billing stays explicit. We check whether the secondary claim was already forwarded, what primary adjudication information is needed and which system owns the remaining balance.
Keep control of the existing account
Your practice retains its Office Ally relationship. Any outside billing work uses approved individual access and an agreed scope under a business associate agreement. Software, clearinghouse and payer enrollment requirements are confirmed separately; this page does not promise a free software plan or included vendor charges.
Ask for a full billing proposal or a defined task, such as rejection cleanup or secondary follow-up. We agree the starting work list, reporting and responsibilities before work begins.
What to discuss first
- Which Office Ally products and other EHRs are involved?
- Who owns submission, corrections and remittance posting today?
- Which payer enrollments and electronic remittances are active?
- Is the request ongoing billing, backlog cleanup or a specific secondary-claim task?
Common questions
Can we keep Practice Mate?
The assessment is designed around your existing setup. We confirm authorized access and the tasks that can be performed there before proposing a change in billing support.
Does Office Ally acceptance mean the payer paid the claim?
No. Submission status, payer processing and payment are separate checkpoints. The agreed follow-up process should track each relevant stage.
